What is a Virtual Assistant?

A Virtual Assistant is an independent contractor who provides assistance to clients remotely from their own office.

Imagine you have your own PA who is available whenever you need help with your administrative tasks, but you don’t need to provide an office, equipment or pay national insurance etc.

That is what it will be like when you hire a Virtual Assistant. You can send us as much work as you want, we’ll always deliver and never moan about being overloaded.

Why do I need a Virtual Assistant?

I bet you are spending your weekends catching up with all the paperwork that comes with running a business? You probably hate this part of your job and yet can’t really afford to take someone on to do your admin. And it’s not that bad really … or is it?

You decide what you want to pass on – it may be just a few tasks at first, like managing your appointments. You decide how often you need help.

What services do you provide?

How do I contact you?

We are available by telephone, text, email and Skype.

When can I contact you?

We are available Monday to Friday, 8.30am to 5.30pm. However, we will always try to accommodate you if you need help outside these hours.

Do I need to sign up for a long contract?

You certainly don’t – you can sign up for what suits you. Some clients just want a Virtual Assistant whilst they are on holiday, others just when they are rushed off their feet, and others need us every day for the foreseeable future. We are happy to discuss your needs and find a solution that works for you.

What happens if I want more services than I originally thought?

Just give us a call or drop us an email and we can sort out what additional services you need. Lots of clients start off with just a couple of services and, once they realise what a relief it is to shed some tasks, they want more! Even if we don’t currently offer the services you need, do ask us as we are developing new services all the time.

What happens if I no longer want all the services I have?

Just let us know. We will obviously be sad if you no longer need us, and we always welcome your feedback on how we’ve delivered our services.

Will communications go out in my business' name?

Yes, if that’s what you want. We’ll agree all of that with you. Most clients simply give us access to their email account so that we can send out messages from you – and manage your inbox, folders, settings etc. to suit you. The idea is that we are part of your business, so your clients will get a seamless service rather than it being like a faceless answering service.

How often will you contact me about appointments?

As often as you want us to! Some clients want to know as soon as an appointment is made so we text or email them. Others just want to know on a daily basis. So, whatever suits you.

How quickly will you respond to me?

Our service standards are that we will respond to all calls and emails within 24 hours. But these are our minimum standards – we almost always respond more quickly than this. If you need a more rapid response, let us know and we should be able to meet your needs.

Where is my information stored?

All information is stored in Dropbox and on a memory stick.

How do you handle security and confidentiality?

Confidentiality is taken extremely seriously at Remote Associates and this is built into our contract. We are also happy to sign your own Non-Disclosure Agreements.
All documents, memory sticks and files are locked away at the end of each working day and a strict ‘clear desk policy’ is followed. A full computer scan is run each week to ensure our equipment is running as it should do.

How much does all of this cost?

Our standard rate is between £15 to £20 an hour depending on the services you want, but please contact us for a more definite price as services are tailored to you and your business.

How do I pay?

Invoices are raised on the last day of the month with payment terms of seven days. Payment can be made by BACS or cheque.

Where are you based?

The joy of hiring a Virtual Assistant is that our location is pretty unimportant as we are available to you ‘on tap’ whenever you need us. In actual fact, we are based in Derby, the most central city in the country – two hours from London, one hour from Birmingham, Leeds and Manchester! We’d love you to visit our office for a coffee!
